Standards and Guidelines: Image Manager

Images - Essential   Required

Before adding an image to your guide:

  • Whilst images help add interest to a page, they:
    • are not accessibility friendly
    • take up a lot of space not only on the page but in file size 
    • fill up a mobile view.
  • Consider how many other images may already be on a page.
  • Be aware that the image might be subject to copyright.
  • For subject guides, pictures are limited to resource covers and logos for major resources only.

What Goes in the Image Manager?

Images to enhance support and event guides

  • Screenshots of instructions for support guides.
  • Images of events and people for use in event guides.
  • Cover images for E or TAFEcat resources that are not available via Syndetics or linked via the internet.

The following do not go in the image manager

  • Cover images already available via Syndetics. 
  • Images that can be linked to via the internet.
  • Images not associated with a resource- ie "pretty pictures".
  • Images that don't have copyright clearance.

Adding Images to the Image Manager   Required

Shared Library - SEN folders
  • Images used on library guides need to be sent to the image administrators for review.

Currently, the image manager in the SSG FIT is Sonia Rahman.

  • Provide the following information and files to the image administrator:
  1. The image file - in PNG, JPG/JPEG or GIF format
  2. The LibGuide and page the image is intended for
  3. Declaration of copyright status:         
    • TAFE NSW owned image OR
    • Copyright free - i.e. details of CC licence or similar OR
    • Written permission ( provide same) Permissions will be stored in a place to be determined
  4. Details of permission of staff and students to be included in photos. Authority to publish required for Students
  5. The URL of the image in the image collection for free stock photos such as Pexels or free gettyimages.
Personal Library
  • You can use your personal library to store screen grabs of videos to link to videos if embedding does not work or does not give a satisfactory result (See instructions).
  • You can also store screen captures used for instructions if the instructions are unlikely to be used in other guides. Screen grabs that are most likely to be reused, should be sent to the image administrator who will add them to the appropriate folder/s.
  • DO NOT use screen captures to make an image of a logo or book cover as they may be subject to specific guidelines or rules. Linking to logos and cover thumbnails is the preferred option as it is not considered to be a copyright activity.
  • If unsure, contact the image administrators for advice.

 

File Names and File formats   Required

  • Use descriptive file names starting with the short name of your guide (Friendly URL ending e.g. automotive).
  • If you have multiple images, keep the file names consistent and recognisable. 
  • There is no need to use underscores between the words because they will be added automatically when the image gets uploaded to the image manager.
  • Supported file formats: PNG, JPG/JPEG and GIF.

Folders are named for the old SkillsPoint areas and have the original SkillsPoint areas in the title

  • 09 Tourism and Experience Services (NC)
  • 10 General guides (S&SG FIT)

Please note: any image that is subject to copyright needs to be approved by the image administrator. Vendor logos can be used but need to come from the vendor's website. Do not reuse vendor images for an external website. For logos on freely available websites, linking to the logo is the preferred option.
